Refund, Shipping & Returns Policy

Overview
This policy outlines the terms regarding refunds, cancellations, shipping, and returns for services and products provided through the VantaRx platform.
VantaRx, LLC is a business-to-business (B2B) web-based service that supports licensed healthcare providers, pharmacies, and related organizations with access to proprietary data, technology, and service infrastructure.
Because VantaRx services include digital access, platform functionality, and pharmacy-related order processing, traditional return policies for physical goods do not apply.
This policy explains our refund, cancellation, and non-returnable conditions.
Digital Services & Platform Access
All VantaRx services are delivered electronically. Once access to the platform, reports, tools, or services is granted, the service is considered delivered.
Accordingly:
- There are no returns or exchanges for digital services.
- Refunds are not provided for accessed or active services, except in limited circumstances outlined below.
Shipping Policy
VantaRx facilitates the shipment of medications directly from our partner pharmacies to the patient or clinic.
- Processing Time: Orders are typically processed by the pharmacy within 24-48 hours of receipt.
- Shipping Methods: Standard and expedited shipping options are available and selected at the time of order.
- Tracking: Tracking information is provided via the VantaRx platform once the order has shipped.
- Delivery Issues: If a shipment is lost or damaged in transit, please contact support immediately for assistance.
Returns Policy
Due to strict pharmacy regulations and safety standards, prescription medications cannot be returned once they have left the pharmacy.
This policy ensures the safety and integrity of the supply chain. Exceptions are made only in the case of pharmacy error (e.g., incorrect medication dispensed).
Medication Orders & Pharmacy Fulfillment (Important)
When VantaRx facilitates or transmits an order to a partner pharmacy:
- All medications are custom-compounded and patient-specific
- Compounded medications cannot be returned, exchanged, or resold
- Once an order is submitted to the pharmacy, it is final and non-cancelable
This is consistent with standard pharmacy regulations and safety requirements applicable to all prescription medications, whether compounded or commercially manufactured.
Once a pharmacy order has been placed:
- The order cannot be canceled
- The medication cannot be returned
- No refunds can be issued for that order
Point of No Cancellation
The following event constitutes the point of no cancellation:
- Submission of a medication order to the pharmacy for fulfillment
After this point, all associated charges are final and non-refundable.
Subscription & Billing Terms
- Fees are billed in advance based on the selected service or subscription term.
- Canceling a subscription prevents future charges only.
- Partial periods, unused services, or early termination do not qualify for refunds.
Refund Eligibility (Limited Exceptions)
Refunds may be considered only at the sole discretion of VantaRx, LLC in the following limited circumstances:
Duplicate Charges
Verified duplicate billing for the same service period.
Billing Errors
Confirmed technical or administrative billing errors attributable to VantaRx, LLC.
Failure to Provide Access
If platform access was not provided due to a system-side issue caused by VantaRx, LLC.
Any approved refund will be limited strictly to the incorrectly charged amount, not the full transaction value unless required by law.
Non-Refundable Situations
Refunds will not be issued for:
- Medication orders already sent to a pharmacy
- Patient-specific compounded medications
- Change of mind or business decision
- Failure to use the service
- Dissatisfaction with outcomes or results
- Failure to cancel before billing renewal
- Account suspension or termination due to policy violations
Chargebacks & Payment Disputes
Customers are encouraged to contact VantaRx, LLC directly before initiating a chargeback.
Unauthorized or improper chargebacks may result in:
- Immediate account suspension or termination
- Permanent loss of access to services
- Disqualification from future use of the platform
